Standard manual journal entries must comply with the following: •

The Business Unit Controller must maintain a list of all standard manual journal entries and assign a unique identifier to each standard manual journal entry. The list must be reviewed with evidence of approval on a monthly basis. • The standard manual journal entry is posted in the entity’s general ledger with the unique identifier in the header text of the entry. A description of the nature of the entry is required in each line of the journal entry. • For standard manual journal entries that are posted on a recurring basis for the same amount throughout a stated period, adequate supporting documentation and approval must be retained with the first entry of the series of recurring journal entries. If the amount of the entry changes additional approval is required.

All non-standard manual journal entries must comply with the following

• Reviewed in a timely manner with evidence of approval by an individual with appropriate authority in accordance with the Global Signature Authorization Matrix.

• Retained in a central repository with adequate supporting documentation and evidence of review

ADMINISTRATION

Roles and Responsibilities. Business Unit Controllers are responsible for the following:

• Maintaining a list of all system-generated journal entries that are posted to their general ledger. • Ensuring all manual standard journal entries are posted into the general ledger and the list of manual standard journal entries is maintained and reviewed with evidence of approval on a monthly basis. • Ensuring proper controls are in place to validate the completeness and accuracy of all system- generated journal entries. • Appropriate individuals have posting access to their general ledger with the exclusion of the intercompany clearing account.

Platform Controllers are responsible for ensuring appropriate individuals are approving journal entries in a timely manner.

Individuals responsible for approving journal entries are responsible for ensuring adequate supporting documentation is included.

Individuals posting journal entries are responsible for ensuring the entry is a valid business transaction and the entry is recorded timely, accurately and to the proper general ledger accounts.

Monitoring, Evaluation and Review. At least annually, system access to post journal entries must be reviewed.

Annual review of journal entry approval authority matrix must be performed by Platform Controllers. On a monthly basis all non-standard manual journal entry from the prior month-end close are stored in a central repository and include adequate supporting documentation as well as evidence of review.

Exceptions. In order to obtain an exception to this procedure a written request must be submitted to the VP, Corporate Controller that contains a compelling business reason.
