DEFINITIONS

Adequate supporting documentation shall mean documentation to support the entry being posted so that a preparer, reviewer or auditor can understand the purpose of the entry. Adequate supporting documentation may include but is not limited to the following: • Source data that initiated the transaction such as a sales order, invoice, purchase order, goods receipt, contract or agreement, etc. • Methodology and rationale to back up a calculation • Reconciliation to support an adjusting journal entry. Standard manual journal entry shall mean an entry recorded or initiated by an individual that occurs on a scheduled basis. In order to qualify as a standard journal entry it must be separately identified as a standard journal entry on a list maintained at least monthly by the business unit controller and be posted with a unique identifier.

Non-standard manual journal entry shall mean an entry posted by an authorized user for an activity that occurs infrequently or does not meet the qualifications of the standard manual journal entry.

Timely manner shall mean reviewed and evidenced by a signature and date by the last calendar day of the month following the month the entry was posted into the general ledger except for quarter-end purposes in which the review must be completed the same day reconciliation certification is due (e.g. if the entry was posted for the month-ended August 31, 20XX then the review of the entry must be evidenced by September 30, 20XX).
