and business-related arrangements and expense reporting. In this document the te rms “Concur Expense,”, “Concur Travel”, “reporting application,” and “web tool” are used interchangeably.

Concur User shall mean a Hubbell employee based in the U.S. or Canada is eligible to be a Concur User. All Hubbell employees who are expected to travel more than twice per year and incur more than $1,000 annually in travel expenses must be registered as Concur users. Corporate Credit Card shall mean a Company credit card issued to employees who are expected to travel more than two times per year. Transactions originated with this card are interfaced from the issuing bank through the Concur Expense application to employees for review and submission for approval. The Corporate Credit Card is always the required method of payment for travel and business-related expenses.

Frequent Traveler shall mean an employee expected to be in Travel Status six or more times per year.

High-Frequency Traveler shall mean an employee expected to travel at least two times per month on average.

Ordinary and Necessary Business Expense shall mean a reasonable expense incurred by a prudent person in the normal conduct of competitive business. The company relies on employee judgment in applying this definition. In addition to this broad definition, specific guidance on reimbursable expenses be found in this Policy in section “ 1. Travel Arrangements and Approval.” Prior approval should be received before any questionable expenditure is incurred.

Regular Base Work Location shall mean the location that an employee normally reports to work.

Travel & Expense Program Administrator shall mean the Travel & Expense Program Administrator, a Hubbell employee who is responsible for certain administrative tasks including setting up new employees in the Concur system. The Travel & Expense Program Administrator is part of the Accounts Payable team and is supported by a team. Travel Management Company (TMC) shall mean a TMC will manage an organization's business travel program, providing support for the online booking tool (Concur Travel), program management and consulting teams, executive travel services, meetings and events support, and reporting functionality, along with travel agent support, when needed. Hubbell Incorporated partners with several TMC’s based on global regions. Travel Status shall mean an employee is in Travel Status when: (1) performing assigned duties the employee is required to travel to a point more than 25 miles from his/her Regular Base Work Location, or (2) regardless of distance, when the employee is required to be away overnight from his/her residence.
